Projector: A Beginner’s Guide
What is Projector?
Projector is an AI-powered project management tool designed to handle the paperwork for you. By automatically converting meeting notes and transcripts into actionable project documents, Projector adapts to your specific workflow. This allows you to focus on leading your projects instead of organizing them.
How does Projector work?
Projector uses intelligent automation to seamlessly transform casual conversation into structured project plans. It is highly flexible, reliable, and trusted by teams to bridge the gap between meetings and execution.
The Core Structure: How It’s Organized
To understand how to use Projector, it helps to understand how data is structured:
Organizations: Every user belongs to an Organization. This could be a marketing agency, a software development company, a design shop, an accounting firm, or any business managing teams across multiple accounts.
Clients & Projects: Each Organization manages various Clients, and each Client can have multiple Projects.
Team Assignment: Users from your organization can be assigned to any project for any client.
Step-by-Step: The Projector Workflow
1. Creating a Project & Choosing a "Project Type"
When you create a new project, you’ll input standard details like the name, client, and description. You will also select a Project Type.
Key Concept: The Project Type is crucial because it tells the system exactly what kinds of documents your project needs and how the AI should process them.
2. The Starting Point: "Notes" to "Action Items"
No matter what Project Type you choose, the journey always begins the same way:
Inputting Notes: You upload raw meeting notes or transcripts into a Notes document.
AI Analysis: The system automatically analyzes the text to filter out off-topic chatter and small talk.
The Action Items Document: Projector generates a consolidated Action Items document, featuring a numbered list of every deliverable discussed.
Multi-Project Intelligence
Your meetings don't always stick to one topic, and Projector understands that. If a single meeting covers multiple projects, the system will automatically separate the discussion and create individual Action Item documents for each relevant project. If a new project or client is mentioned that isn't in the system yet, you can easily create them on the fly.
3. Customizing Your Outputs
While the initial steps are universal, this is where Projector adapts to your company's unique workflow. Based on the Project Type you selected, the Action Items are transformed into specialized documents:
Example Workflow 1: The "To-Do List" (Basic)
Ideal for straightforward task management. The system analyzes the Action Items and generates individual, assignable tasks. If a deadline was mentioned in the meeting, Projector automatically assigns a due date. The project manager simply steps in to assign priorities and team members.
Example Workflow 2: "Software Development" (Agile)
Tailored for engineering teams. Action Items are automatically converted into User Stories, which are then refined into Functional Requirements. From there, the system generates a Tech Spec document, translating those requirements into highly specific Development Tasks complete with implementation plans for your software developers.
Make It Your Own
Projector is is built to work exactly the way you do. Project Types can easily be created to match your business model:
Design Firms can automatically generate Creative Briefs to ensure tasks align with client requirements.
Caterers can automatically extract event specifics, guest counts, and Food Sensitivities from client consultations.
Wherever your conversations happen, Projector turns them into the exact documentation your business needs to move forward.
